How should a pressure washing quote handle site conditions?
Build a pressure washing quote from crew time, water access, runoff controls and overhead, then test route capacity and operating break-even.

A pressure washing business should quote the complete job condition, not only visible square footage. In this worked two-person route, a representative job has $312 of economic cost. Allowing 3% for payment leakage and 15% for operating margin produces a raw quote floor of $380.49, rounded to $385. No on-site water adds a rounded $70; difficult runoff control adds $95.
Those are planning inputs, not national price recommendations. The operator must replace labor, time, chemical, fuel, water, containment, disposal, payment and overhead amounts with its own timed jobs and invoices. The method matters because two properties with the same washable area can use different crew hours and legal wastewater routes.

Inspect the job before applying a price
Record the surface and material, washable area, contamination, height and access, nearby plants and property, water source, drainage, required containment, permitted disposal route, travel, parking and customer constraints. State the cleaning method and exclusions in the quote.
Do not assume higher pressure is the answer to every surface. The selected method, chemical, temperature, distance and dwell time belong to the job plan. Test inconspicuous areas and follow product labels and equipment instructions.
The revenue unit is one completed customer job. A bundle covering siding and flatwork is still one completed job in the daily route count. Count its component services only in the service mix; otherwise revenue and capacity will be duplicated.
Build the base quote from complete cost
This worked quote assumes two people spend 3.25 hours each on travel and administration, setup, cleaning, containment and teardown. The $28 loaded field-labor floor is an authored replacement-cost input. It is not a BLS wage and must be rebuilt from local pay, employer costs and paid nonbillable time.

The planning grid rounds that result to $385. The 15% is a target operating margin on retained sales before depreciation, financing, income tax, replacement capital and owner distributions. It is not a guaranteed profit.
BLS reports a May 2025 median hourly wage of $17.71 for janitors and building cleaners and $17.21 within services to buildings and dwellings. Add water access as a separate condition
A customer-supplied tap can still require hose length, flow and permission checks. Bringing water changes fill time, travel, payload and usable working time.
Northern Tool describes a trailer unit rated at 4 GPM with a 200-gallon tank. USGS states that one gallon of water weighs about 8.33 pounds. The transparent calculations are:
- Water payload: 200 × 8.33 = 1,666 pounds.
- Theoretical continuous run time: 200 ÷ 4 = 50 minutes.
The 1,666 pounds is water alone. Tank, trailer, burner, engine, hoses, reels, chemicals, fuel, tools and dynamic loading are additional. For the worked quote, no on-site water adds 0.75 hours for each crew member plus $12 of fill and route cost:
- Extra labor: 2 × 0.75 × $28 = $42.
- Extra economic cost: $42 + $12 = $54.
- Price adjustment: $54 ÷ 82% = $65.85, rounded to $70.
Use the actual fill point, queue, distance and loaded travel time. A tank should not become an unpriced promise of unlimited water.
Price runoff control from the permitted route
Portland prohibits pressure-washing wastewater from entering stormwater. Its guidance separates possible routing to vegetation, sanitary sewer or a permitted industrial wastewater facility by pollutant and condition. Orlando likewise says washwater should not flow to paved surfaces or storm drains. Its special-event guidance allows collected washwater to a sanitary drain with property-owner permission and says not to use a septic system. For a job requiring additional containment and recovery, the worked case adds one hour for each crew member plus $20 of additional materials or disposal:
- Extra labor: 2 × 1 × $28 = $56.
- Extra economic cost: $56 + $20 = $76.
- Price adjustment: $76 ÷ 82% = $92.68, rounded to $95.
If both no-water and difficult-runoff adjustments apply, the rounded grid produces $385 + $70 + $95 = $550. The direct unrounded floor is different: ($312 + $54 + $76) ÷ 82% = $539.02. The $550 is a deliberate rounded menu quote, not a claim that the two formulas are identical.

Test the route before promising more jobs
The base route has two people and a combined 80 paid person-hours each week. At 6.5 combined person-hours per representative job, ten weekly jobs use 65 hours, or 81.25% of paid capacity. Fifteen jobs use 97.5 hours and do not fit the same roster.

Measure the complete clock: initial response, estimate travel, job travel, parking, setup, customer protection, cleaning, containment, recovery, disposal, teardown, refilling, photos, invoice, rework and weather loss. Route density can improve capacity; a financial formula cannot create crew hours.
Reconcile the quote with operating break-even
The linked business case uses a $425 retained net sale, two completed jobs per day, five service days per week, an 82% contribution margin and $12,250 monthly fixed cost. Fixed cost contains complete paid owner and technician labor plus vehicle, insurance, storage, marketing, software, maintenance and administration assumptions.
The practical threshold is at least two complete jobs per service day because the operator cannot sell 0.62 of a job. At two jobs per day, simplified monthly sales are $18,416.67, contribution is $15,101.67 and operating surplus is $2,851.67.

The combined downside needs three completed jobs a day while the representative three-job schedule exceeds the two-person weekly hour envelope. The remedy must change price, job time, route density, cost or staffed capacity; rounding the forecast cannot solve the conflict.
Replace the planning grid with operating records
Track these measures for every quote and completed job:
- Surface, area, contamination, access, protection and selected method.
- Water source, measured use, fill time, drainage, containment, recovery and disposal route.
- Quote, accepted amount, discount, refund, payment fee and retained sale.
- Person-hours for travel, setup, cleaning, teardown, administration and rework.
- Chemicals, engine fuel, vehicle mileage, disposal, maintenance and damage claims.
- Lead source, response, estimate, acceptance, completion, repeat request and acquisition cost.
- Weather cancellations, rescheduling and lost route slots.
The decision rule is concrete: proceed only when ordinary paid jobs support the quote after complete site conditions, ten weekly jobs fit the two-person clock, the local wastewater route is documented and the resulting contribution carries full paid labor and overhead.
